If you are the Collection agent, this will show you how to log the collection on Winfreight
How to log a collection:
- Step 1: Is it a new collection request?
- Step 2: Is it a query on an existing collection?
- Step 3: Has the order been collected already?
Step 1: Is it a new collection request?
- Go to your collections dashboard on WF
- Select the Add/Edit Collection button in the bottom right of the screen
- In the pop-up window, complete all the relevant information on both sides (the more info the better)
- Remember to change the Branch according to where the collection is being picked up
- Click on the Save button
- Copy the collection reference (top right of pop-up window)
- Paste that in the Collection Number field of your ticket
- Click on Update
- Send the mail to the relevant collection branch as an FYI
- Select the Menu button on the ticket (its the button above the ticket, with the 3 vertical dots)
- Select Execute Scenarios
- Find the Notify Customer About Collection Number scenario
- Click the Execute button on the right of that scenario
Step 2: Is it a query on an existing collection?
- If the client wants to know what time a collection will take place, advise them that collection will be done by COB.
- If a client wants to change details of the collection, find the collection on the dashboard, click on it, and click the Add/Edit collection button. Make the changes and save it.
- If the client is closing early, find out from the operator if collection can be done before the client closes. Advise the client accordingly.
- If the client wants to call the driver to explain direction, connect the driver to the client telephonically. Only give the drivers number out as a LAST RESORT.
Step 3: Has the order been collected already?
- If the order has been collected and has a valid waybill number already, then this is not a collection query. Send it to CSD to follow up on the delivery.
